A practical AI pilot for document-heavy workflows

Use extraction and human review to test whether AI saves useful work.

Choose a bounded task

Imagine a team manually sorting incoming service requests. A limited pilot could suggest a category and extract a requested date, while a person approves the result. This is an illustrative use case, not a claim about a delivered client project.

Compare against the current process

Measure how long the existing workflow takes and which mistakes matter. A model that extracts most fields correctly may still create extra work if reviewers must reread every document. Compare total handling time and correction effort, not just the model’s field accuracy.

Design for uncertainty

Allow missing values rather than forcing a guess. Show the supporting text next to each suggestion. Route unusual documents and conflicting information to a reviewer. Keep the original document available through appropriate access controls, and distinguish suggestions from approved records.

Start with representative documents

Include different layouts, poor scans, language variation, and incomplete requests. Agree on permitted data use and remove unnecessary personal information from evaluation copies. Document the decision rule for acceptance and the process for handling failures.

Try this: Pilot one document type and a small number of fields. Decide whether to expand only after measuring end-to-end work, recurring error categories, and the ability to correct mistakes.
